Time & Labor

What is Time & Labor?

The PeopleSoft Time and Labor application gives employees the ability to report their hours worked for the current work week, as well as enter future time (up to four weeks). Employees who enter their own time in the system are called Time Reporters.

Time & Labor is utilized by the following types of employees:

  • Temporary Employees - includes students, less than half-time and extended part-time employees
  • Clerical and Technical Staff - both HUCTW and non-represented staff
  • Harvard Trade Unions

For employees who do not have access to PeopleSoft or fill out paper timesheets, a Time Keeper or Time Adjuster will enter your hours into Time & Labor on your behalf.


Features of Time & Labor

  • Enter time for the current and future (up to four) weeks. For past weeks, a Time Adjuster or Time Administrator can enter the time retroactively
  • Since all time worked is entered as regular time, not overtime or overtime straight, any overtime due is automatically calculated when the Time Administration process runs
  • Time Administration Process commonly called Time Admin, converts “reported time” into “payable time” by applying Harvard defined rules, such as overtime. Time Admin runs approximately four times per day: 10:00am, 12:00pm, 2:00pm, and 4:00pm.

How to Obtain Access to Time & Labor

While all Harvard employees are given access to PeopleSoft Self Service, access to other roles in Time & Labor requires approval from your tub's HR Authorized Requestor.

Each Tub has a designated Authorized Requestor who is responsible for submitting requests for system access. Your manager or supervisor will help you determine the applications and the level of access that you will require for your job. Your Authorized Requestor will then submit the appropriate request(s) for access. For more information and to obtain the list of Authorized Requestors, see the Client Services section.

There are four main roles used in Time & Labor:

  • Time & Labor Approvers can access Time & Labor pages in PeopleSoft's Manager Self Service to approve payable time for designated staff, view time reported by staff and run various Time & Labor reports. Approvers cannot report time on behalf of an employee.
  • Time & Labor Keepers can enter timesheets on behalf of employees.
  • Time & Labor Adjusters and Administrators can combine the actions of both Approvers and Keepers in PeoleSoft's Manager Self Service pages. They can report time on behalf of employees for current, future and previous time periods, make adjustments to report time, approve payable time for designated staff and run various Time & Labor reports. Adjusters can enter and adjust time for up to 4 weeks in the past while Administrators do not have a restriction on how far back they can enter/adjust time.
