Quick Hires: Valid Social Security Numbers -- The Social Security Administration (SSA) has recently started issuing social security numbers beginning in the range of 729 - 749 and 764 - 999, and some social security numbers beginning with 000 and 666. Because these numbers were previously not used by the SSA, they were programmed as "invalid" in PeopleSoft. As a result, when processing a hire with one of these new numbers, you will receive a warning message in PeopleSoft. This message is only a warning. You can simply click "ok" and continue processing. You will still be able to complete the processing of the hire.
Helpful Hints:
Authorized Signers for Payroll Transactions -- Many transactions previously process in Central Payroll are now being processed in the tubs. Some of the requirement for authorized signers has been replaced via PeopleSoft security in the submission and approval process, including things such as:
- Job Data Changes
- Additional Pays (due to the upload process)
- Quick Hires
- Costing Changes
- Personal Data Changes
There are some forms processed in Central Payroll that still require an authorizing signature. These include:
- Any automated form that fails the interface, such as a hire that did not make it through HIRES
- Payline Transaction Forms (until the automated form is available on May 9)
- Additional Pay Forms for Third Party/Gross Up
- Terminations
- Non-disability Leave of Absence
Now that the list of forms requiring authorized signers is somewhat smaller than it used to be, we would like to update our authorized signer list to include only those names of people who can sign for the transactions still being processed in Central Payroll. I have attached a spreadsheet with a list of documents requiring an authorizing signature, as well as a place for you to include the name of the person who should sign for that type of document. Please fill in the blanks on the spreadsheet and return it to me by Friday, April 15. Any future changes (after April 15, 2005) to authorized signers in your tub should be directed to your Payroll Customer Service Representative.
Please keep in mind that the processes you can do in the tubs no longer require authorized signers in Central Payroll. Also note that you cannot be an authorized signer for a payment to yourself, or for a change to your own record.
