AWS3 reports to migrate to Common Reporting Environment for the Warehouse (CREW) in June      top

Overview

In June 2004, the Harvard Data Warehouse will be rolling out the first element of a four-phase project to consolidate the various University reporting systems used by the human resources, financial, and sponsored research communities today. A new web-based reporting system, dubbed CREW (Common Reporting Environment for the Warehouse) will initially deliver the HR reports now available in AWS3. That is, CREW will replace AWS3 for HR reporting from the Warehouse beginning in June.

The second phase will entail the delivery of reports for the sponsored research community, as part of the Grants Management Application Suite (GMAS) implementation this fall. The third phase, also scheduled for the fall, will make historical data from the Information Utility (currently delivered via the original Administrators' WorkStation application) available in CREW. About 12-18 months after these phases are implemented and stabilized, financial reports now found in AWS2 and HUDINI will be migrated to and redeployed from CREW.

Overall, the CREW project will allow Harvard to decommission four different reporting applications and one legacy data warehouse. Through this consolidation, we expect to realize significant technical efficiencies, as well as provide a better and easier user experience for Harvard administrators who often work across the functional areas of finance, human resources, and grants administration.

Designing the New System

The design process for CREW incorporated the best and most usable features from the current reporting applications, and produced a few new ones intended to enhance system "usability."

The process was a collaboration between system developers in the Office of Administrative Systems, product managers representing the three functional areas, user groups and committees, and individual users who participated in early-stage testing of screens and navigation, or in focus groups.

Here's what to expect:

  • Access to CREW over the web using a browser; no special software or “plug-ins” needed

  • Single log on, using HUID and PIN (fewer passwords to reset and keep track of; more convenient)

  • “Welcome” and log-off pages provide status on system availability and data freshness

  • Having to learn and use only one system (instead of four) makes it easier to become a more proficient user. Plus, more online help

  • Advance scheduling of reports to run on a regular basis, or at a time convenient for you (for example, overnight)

  • Familiar three-step process to run reports:
    1. select report
    2. set parameters
    3. get results

  • Improved ways to search and filter a long list of parameter values, along with navigational assistance for complex data hierarchies

ABLE Updates     top

New information has recently been added to ABLE to support users of the Electronic Shop and Pay system. This new system provides a single entry point to multiple strategic vendors (Staples, VWR Scientific, and GovConnect) from within Oracle financials. Selecting one of these vendors launches a Harvard-specific catalog with discounted pricing. Approved orders are sent to the vendor electronically, with invoices sent directly to Accounts Payable (no more settlement with PCard or Web Voucher). Users of the Annual Salary Increase Process (ASIP) will find newly posted instructions on how to prepare and submit salary increases, change salary costing, and extend term appointments for large groups of employees.

The Office of Human Resources publishes this semimonthly electronic newsletter for users of Harvard University's financial, HR, and reporting systems, policies, and procedures. Generally, the e-News is published on or around the 12th and 26th of each month.
