Financial systems outage

Friday, October 21 through Monday, October 24: The Harvard University financial systems will be unavailable from 6 p.m. on Friday, October 21 through 6 a.m. on Monday October 24 to accommodate a scheduled FINDINI release. Systems include Web Voucher / Web Reimbursement, PCard, Electronic Shop and Pay (ESP), General Ledger, Web ADI, Budget Tool, Accounts Receivable, Accounts Payable, Chart-Security Maintenance Application (CSMA), Cash Management (CMRA), CoA Validator, Bottomline, and Windstar.


Reporting systems outage

Friday, October 21 through Tuesday, October 25: CREW and the FinStar ad hoc reporting database will be unavailable from 5 p.m. on Friday, October 21 through 6 a.m. on Tuesday, October 25 to accommodate the scheduled release of patches, fixes, and enhancements to the financial reporting environments.

Sunday, October 23 through Tuesday, October 25: AWS2, HUDINI as well as the HDWPROD and HDWUTS ad hoc reporting environments will be unavailable from 6 p.m. on Sunday, October 23 through 6 a.m. on Tuesday, October 25.

Open Enrollment Benefits Elections processing in PeopleSoft on November 10 - 11

The PeopleSoft HR System will be down from Thursday, November 10 at 5:30 p.m. until Saturday, November 12 at 8 a.m. This will require that hours worked for the week ending Saturday, November 12 be entered by 5:30 p.m. on Thursday. Deadlines for adjusting and approving are unaffected. As always, local deadlines may be earlier.

In addition, HIRES will be prevented from transmitting forms to PeopleSoft during that time. The "transmit" button will be grayed out at 5:30 p.m. on November 10, as will the PeopleSoft access button on HARVie.  All other HIRES functionality will continue to be available during this period.

New pension data page views for Employee Self Service and tubs        top

New pension data pages are available in PeopleSoft that provide pension plan and vesting information.

For employees:

  • In PeopleSoft (ESS), navigate to Home > Self Service > eBenefits > Home > HU Pension Summary.
  • The Self Service page provides employees with their pension plan, participation, and vesting information. A link at the bottom of the page offers direct access to the Harvard University Pension Enrollment website, which is administered by TIAA-CREF.

For tubs:

  • No special security is needed; if you have access to the “Employment Dates” tab, you will have access to the Pension Data pages. In PeopleSoft, navigate to Home > Administer Workforce > Administer Workforce (GBL) > Inquire > HU Employee Pension Data.
  • The pages available to local department administrators provide pension information for the department's employees. In addition, tubs can view their employees' benefit, participation, vesting, and longer services. The page provides links to ABLE with more details regarding the way these services are calculated and used at Harvard.

AP View migration from HUDINI to Oracle     top

Effective October 24, 2005, a group of Accounts Payable screens ("AP View" on the menu) that are currently available in HUDINI will migrate to the Oracle Financials Personal Homepage. This change is being done in preparation for the retirement of HUDINI in March 2006, when financial reporting migrates to the Common Reporting Environment for the Warehouse (CREW).

What is AP View?

AP View is a menu option within HUDINI that allows access to screens that provide additional invoice and payment information not available within Web Voucher inquiry, including:

  • invoice holds
  • the batch identifier associated with an invoice payment (used to retrieve a copy of the invoice from AP Customer Service).

How will users access this data in the Oracle Applications?

All Web Voucher users will automatically be set up with the HRVD^HUAP^AP Views responsibility, which will allow them to access these screens from their Oracle Personal Homepage. When they click on the responsibility, the following Navigator window will launch. The same familiar menu names from HUDINI will display, and users will be able to navigate through the screens the way they do now.

How will this change affect the end users?

Other than understanding that the functionality has shifted from HUDINI to Oracle and familiarizing themselves with the new responsibility on their Personal Homepage, there should be minimal impact to end users.

Will there be any changes to AP View?

The only change is the switch from the day-old nature of data in HUDINI to real-time information. The screen appearance and navigation will be identical.

Will AP View still be available in HUDINI until that application is retired in March 2006?

No. In conjunction with the migration to Oracle, user access to the HUDINI version of AP View will be disabled, and users will no longer be able to select this option from the menu.

What if I need help?

The project team will communicate with the Help Desk (x 6-2001) and authorized security requestors so that they are aware of these changes and can address any questions that users may have. For additional information and step-by-step instructions on how to use AP View, please click here.

Sponsored Research systems update      top

As part of GMAS's quarterly release cycle, the sponsored research systems team has announced a set of enhancements. Please make note of the following outage relating to the release. For more information about the release (including additional bug fixes), please visit http://oas.harvard.edu/gmas/.

GMAS will be unavailable on Saturday, October 22, 2005.

GMAS Enhancements
Action Memo
  • The email subject line of the action memo has been corrected to display the proper fund value in the case of remapped accounts.
  • The org/fund header of the action memo has been corrected to display the proper org and fund value in the case of remapped accounts.
Budget Periods |< and >| buttons have been added to all budget period screens to help in the navigation of projects with multiple budget periods.
Budget Upload
  • Subagreement budget uploads will display the current GL budget on the upload screen.
  • Awarded dollars budget upload screen will display the associated segment information.
Dashboard A dashboard has been created to monitor GMAS usage.
Perm File The perm file label has been corrected to display the most recent segment award number.
Person When creating a new person, the salutation list has been ordered by frequency of usage and then alphabetically.
Scanner "Prepared by" and "Date" text fields have been added to the scanner cover page.
Search A mentor checkbox has been added to limit person results when using advanced search.
Standing Team Standing team names on the person profile screen links to the specific standing team homepage.
Subagreements On the subagreement homepage, the subagreements and amendments component always appears open.

CREW Grants Management Enhancements
All Reports –
Last Closed Period
The three Grants Management reports (Monthly Salary Certification, Invalid Code Combinations, and Sponsored Research Expenditure) using the parameter "Last Closed Period" have been corrected to allow end user scheduling.
Security Social security number and birthdates have been removed from all Grants Management tables.
