PeopleSoft 8.9 Upgrade April 12th - 16th top
Due to upgrade of PeopleSoft to version 8.9, PeopleSoft and HIRES transmissions to PeopleSoft will be unavailable starting on Thursday, April 12th at 6:00pm until Monday, April 16th at 8am.
Refer to the February issue of the eNews for details about the PeopleSoft changes and for links to new training materials for HR Administrators, Employee Self Service, and Time and Labor.

| Extracts and Uploads |
Extracts from PS 8.0 can be uploaded in 8.9. This includes the Term Re-Appointment, Salary Increase (SIP), the University Mail Upload, Costing, Addl Pay, and General Deduction Uploads.
Note: you can only extract Students and Temps for Term Re-Appoints or Salary Increases after go-live. |
| Job Data Change Form |
If the form in 8.0 is in any status other than submitted, you can continue processing the form in 8.9. Forms in a submitted status are still viewable. |
| Quick Hire – all types |
You will be starting in 8.9 with NO Forms due to table structure changes.
Any form currently “In Process” needs to be submitted prior to April 12, 2007. If a form can not be completed, you may want to print it out before the system comes down on April 12th so it can be re-entered into 8.9. |
| Dumb Forms |
The following forms will be retired, so need to complete and print out before the system comes down on April 12th: Hires, Rehire, and Additional Job forms are now streamlined into one new form.
The Leave of Absence form has been retired since the Job Data Change form can now handle this transaction.
The Payline, Addl Pay, Third Party Payer, and Personal Data Change forms will all carry forward from 8.0 to 8.9. |

Temporary freeze on security changes starting Monday, April 9, 2007 through Friday, April 13, 2007.
PeopleSoft configuration and user security requests will be accepted during this time, but will not be processed until Monday, April 16th.
Processing of requests will continue through Friday, April 6th. To ensure your request is processed before the security freeze, please submit your request before the end of the day listed below for the type of request being made:
- Departments* – Tuesday, April 3rd
- Location Codes – Wednesday, April 4th
- Time and Labor Groups – Wednesday, April 4th
- User Security Requests* - Tuesday, April 3rd

GMAS Grants.gov Enhancements, Phase II top
The Grants.gov Phase II enhancements are now available in GMAS. These enhancements complete the System to System (S2S) features in GMAS.
- Grants.gov forms and their associated attachments may be viewed, printed, and saved as one pdf document before and after submission.
- Grants.gov validation errors link back to the edit screens where they may be corrected.
- When an application is rejected by Grants.gov or the sponsoring agency, it can be corrected and submitted again. A new button, <Resubmit to Grants.gov>, on the request homepage allows this.
- When a document is associated to a request as a Grants.gov attachment, the request’s document repository will indicate the association with a
.
- The Grants.gov questions screen shows child questions only when they must be answered.
- The Grants.gov budget template has been expanded for use with continuations and supplements.
- Added “Date received by Grants.gov” to the submissions details screen.
- Updated the instructional text on the validation and preview screens.
- An attachment is automatically generated for the R&R Project/Performance Site Location form when more than eight performance sites are entered in GMAS.
- An attachment is automatically generated for the R&R Budget form when more than ten line items of equipment are entered in the budget in GMAS, or when more than eight key persons are entered in the research team.
- The request title can display quotations.
- Comments section on the request home will remain open at all times and the comments edit screen allows hard returns.
- The <Dates & Dollars> section on the request home has been renamed <Budget> and it now links directly to budget view screen.
- Target dollars entered in the request guided steps can be edited in the budget.
- Research team member names are now links to person profile.
- The description required for the <Other> research team role has been expanded from 22 to 40 characters.

New iSite for Schools with International Programs top
The new International Programs Information iSite has been launched and can be accessed by going to http://www.isites.harvard.edu and searching for “International Programs Information.” This informational website, developed by the International Business Operations team, provides useful information to faculty and staff within the Harvard community looking for assistance with starting up new programs or activities outside the borders of the U.S. Included in the site currently is an International Programs Guide, a list of contacts within each school for international programs, and links to U.S. State Department Travel Warnings and the University’s S.O.S. site, to name a few.
