CREW and Oracle Outages January and February; Oracle Financial Systems and CREW Reporting Impacts  top

Due to a scheduled upgrade to University financial and reporting systems, users should expect the following system outages in January and February:

  1. CREW will be unavailable on Saturday, January 26 from 8:00 am-4:00 pm and on Sunday, January 27 from 5:00 am-9:00 am.
  2. Oracle Financials will be unavailable after close of business Friday February 1 until 6:00 a.m. on Monday, February 4 for the FINDINI 3.2.4 release.
  3. CREW will be unavailable from Friday evening, February 1st until start of day on Tuesday, February 5th.

Two areas that will be impacted by the FINDINI release:

Impact on annual budget preparation:

The Budget tool will be unavailable during the Oracle outage period. Budget Tool entries submitted Friday, February 1 will be processed Monday evening, February 4 (overnight) and will be reflected in CREW/ad hoc environments on Tuesday, February 5, 2008.

Changes to PCard Logout changes:

To assist users with the best practice recommendation to log out of Oracle applications when work is completed, all PCard responsibilities will now include an Oracle Logout option located at the top-center section of each screen. Please utilize this new feature if you are logging out Oracle from your PCard responsibility.

GMAS Release 1_16 in February   top

A GMAS release is planned for the first weekend in February. GMAS will be unavailable starting at 5:00PM on Friday, February 1st, until 8:00AM, Sunday, February 3rd. A list of the enhancements and bug fixes included in the release will be available at that time. CREW RPT 4.1 will be deployed into production on 1/18/2008.

1 HREDUDP216 – Departmental-Education Profile

This is a new CREW HRMS report.  The Education Profile report will allow end users to identify employees who have incomplete/incorrect education data.  View access to ESS (Employee Self Service) Education Data was turned on with Release 19 (December 2007).  This report will facilitate departments and schools with the clean up of data that may be incomplete/incorrect for employees.

2 HRMAGOP061 – Harvard Magazine

Modification to report: add Employee Classification to report.

3 HRSTUDP210 – Departmental-Student Employee Profile

This is a new CREW HRMS report. The purpose of this report is to allow HR administrators the ability to display student employee information in order to identify Harvard student employees who are about to (or just) graduated in order to process the necessary paperwork.

Student information contained in this report is confidential and may be protected by the Family Educational Rights and Privacy Act, 20 U.S.C. §1232g, as amended. Receipt of this report is limited to Harvard University officials with a legitimate educational interest in the information. Any other access, use, distribution, or release of this information is strictly prohibited. See http://www.registrar.fas.harvard.edu/fasro/common/ferpa.jsp for further information about the University’s FERPA compliance policy.

Important Note for GE PCard and Corporate Card Holders     top

Some Harvard employees have recently received fraudulent e-mails, requesting that the recipient log on to a bogus GE website to provide PIN and account-number information. GE has sent an e-mail to its corporate card program administrators about this so-called “phishing attack." Here are some important points from GE's recent communication:

  • Phishing is the practice of sending fraudulent e-mails that request recipients to either update their accounts or to verify balances due to a technical problem. The e-mail provides a hyper-link to the bank’s e-commerce login page which is an exact clone of a legitimate site. By attempting to capture account and PIN numbers, the fraudsters hope to transfer the funds electronically or use the personal identifiers for identity thefts and fraud applications.
  • The subject of the e-mail was “Dear GE CAPITAL FINANCIAL INC customer”. In the e-mail was a request for the viewer to login to a GE look-alike website which included “personal/salesfinancelogin.html” in the link.
  • GE Money has taken steps to shut down the offending website. GE Corporate Payment Services is working with GE Money’s security team to investigate further.
  • GE will never send cardholders an e-mail asking for personal information such as account number, address, social security number, PIN, passwords, etc. Bear in mind, GE’s fraud prevention team may send cardholders an e-mail to verify suspicious charges on an account.
  • Continue to view all e-mails that contain generic information or action requests with a high degree of skepticism

If you are a cardholder who did respond to the fraudulent e-mail, or are otherwise concerned that you may have compromised your confidential information, please contact GE by calling the number on the back of your PCard or corporate card (800-274-7378), and ask to speak to the fraud department.

No PCard sweep the week of Thursday, January 17     top

Please note that there will be no PCard sweep the week of Thursday, January 17.

Due to the winter-break holiday, the loading of some PCard transaction files was delayed, so that no sweep date was generated for January 17. All PCard transactions that normally would have swept on that date will now sweep on Thursday, January 24. PCard transactions not related to the canceled January 17 sweep are unaffected, so that the January 24 sweep will contain about twice the typical number of PCard transactions.
