About the e-News

Oracle Financials and CREW Outages-FINDINI 3.2.6 Release    top

The University's financial systems will be unavailable from 6:00pm on Friday, October 10th until 6:00am on Tuesday, October 14th to accommodate a scheduled release.

PeopleSoft users please note: the PeopleSoft system will not be able to perform costing validation against the GL Validator due to the Oracle Financials system outage.

The Oracle Financial Applications are:

Web Voucher/Web Reimbursement/HCOM
IProcurement
Electronic Shop and Pay (ESP)
PCard
General Ledger, ADI and Web ADI
Budget Tool
Accounts Receivable
Accounts Payable
Chart-Security Maintenance Application (CSMA)
Chart of Accounts Validator
Capital Project Services (CAPS)
Cash Management (CMRA)

Here is the outage information for October 10 - 12, 2008 for the CREW Reporting Application and Ad Hoc environments during the installation of the scheduled CREW APP 1.5.3 & CREW FIN 3.2.6 releases:

  • All CREW reporting will be unavailable from 5pm, Friday, October 10 until 6am, Monday, October 13 including: Financials, Grants Management, Student Data Warehouse, CAPS and Human Resources
  • DWCENPRD ad hoc & exporting databases will have the same outage as CREW Reporting above
  • HDWUTS ad hoc database will be unavailable from 8 pm, Thursday, October 9th until 6am Monday, October 13
  • DWHRPRD, IMSUTS & DWHRHST ad hoc & exporting will be AVAILABLE as usual during the weekend
  • The CREW nightly data load for Friday, October 10 is cancelled. A special load of financials data will run on Saturday night, October 10/11. The HR data load will run on Sunday night as usual.

CREW Sponsored Reports Enhancements       top

Two Grants Management enhancements were released on September 19th, 2008:

  • In the Monthly Salary Cert report, The HUID has been removed from the certification form to comply with the Harvard Security Policy 2.11
  • In the Requests Report, a new 'Version No.' column has been added to display the version number of Initial and Competing Renewal requests that may be revised and resubmitted.

Certain Cash Management Functions Transferred to University Financial Services   top

As you are aware wire transfer, stop payments, the escheat process, and check void functions have moved from Cash Management to University Financial Services AP Operations. These activities closely align with, and are integral to, other functions currently performed either within UFS or the broader Office of the Controller (OC). Frank Bilodeau and Joe Mendes, who execute these activities, have transitioned to UFS at 1033 Mass Ave.

Tip: Working with Oracle Financials and Pop-Up Blockers  top

The Problem: Your computer appears to be stuck after clicking on your responsibility.

The Cause: A pop-up blocker may be causing the problem. Oracle General Ledger, Accounts Receivable, CSMA and Budget Tool all require the Oracle J-initiator to launch when a user clicks on a responsibility. The Oracle J-Initiator is a pop-up and many Internet Explorer toolbars disable pop-ups.

The Solution: Hold down the “Ctrl” key on your keyboard when clicking on your responsibility. Holding down the Control key disables pop-up blockers.

e-News is pleased to present a new feature, "Upcoming Releases". Each month we will be adding to this article news of impending releases of Harvard's University financial, HR, and reporting systems.

FY2009 FINDINI Release Schedule

A significant upgrade to the financial applications, known as a "FINDINI release", is done every two to four months. Each upgrade introduces needed bug fixes, enhancements, and technical upgrades into Harvard's financial systems. Generally, releases are performed on weekends to assure maximum availability during the business week. Most outages occur from 5 pm Friday evening-6 am Monday morning.

Since April 2000 the Center for Workplace Development has published over 600 articles in the Administrative e-News. The e-News is a monthly electronic newsletter for users of University financial, HR, and reporting systems, policies, and procedures.

The last eight years has brought tremendous changes in the Administrative Services, Financial Administration and Human Resources departments, as well as a dramatic growth in the systems, policies and procedures supported by these offices on behalf of the University. In addition, new and improved technologies have been introduced in this same period and provide an opportunity to deliver news items from these units in a more dynamic and interactive way.

An e-News Task Force has been formed to evaluate how e-News is currently used and to make recommendations to improve the content and delivery of this monthly newsletter to the University community. A short survey has been created to help us identify the utility of e-News and to improve its content to better fit your needs. We value your input, as well as your privacy, and your responses will remain anonymous unless you choose to provide contact information.

To encourage participation in the survey, the Task Force is offering everyone who completes it the chance to win one of four raffle prizes. Prizes include iPod shuffles and Harvard umbrella/portfolio sets.
