New Online Vendor Request Form Launch topUniversity Financial Services (UFS) is pleased to announce that the new Vendor Request form is about to be launched into Oracle production. The form has been designed to eliminate dual data entry and to become compliant with the Harvard University Enterprise Security Policy by replacing the existing paper form. The paper process will be phased out by January 31, 2009. Paper forms will no longer be accepted after that date. The Vendor Request form will allow a Requestor to enter New Vendor or New Vendor Site information within Oracle. Most importantly, the form will allow a Requestor to track the status of their requests through the approval process. The Vendor Request form will:
This new functionality will be under a new responsibility in Oracle called ‘Vendor Request’:
Access to ‘Vendor Request’ Responsibility Authorized Requestors (AR) will be receiving a list from Client Services of their current Web Voucher users shortly following this announcement and will be required to determine who (all WV users, select WV users, and/or users who do not have WV currently) should have this new responsibility. Client Services will then assign the responsibility based upon information provided by the AR. Please Note: Both a ‘Requestor’ and ‘Approver’ need access to this responsibility since they are both required to access the form. Subsequent to this initial roll out, tubs/schools should follow their current business process for obtaining access as they do for any Oracle responsibility. Please note that once you have been converted to the new responsibility, you will no longer need to submit a paper form. Training: An online tutorial on how to use the Online Vendor Request form has been created. There is also a printable work instruction available. Training for this new functionality will be incorporated into the current Web Voucher training classes provided by CWD. Key Dates:

Each upgrade introduces needed bug fixes, enhancements, and technical upgrades into Harvard's financial systems. Generally, releases are performed on weekends to assure maximum availability during the business week. Most outages occur from 5 pm Friday evening-6 am Monday morning.
