A Fresh New Look for e-News!

Welcome to the newly-revamped e-News! Based on feedback received in last year's e-News survey, e-News now has an updated look and feel and provides some additonal functionality for our users:

  • Print a single article by clicking on the Print link found at the bottom of each article

HUBS System is Live!

As of Friday, November 13, most of the Wave 2 Tubs went live with both reporting and budgeting use of HUBS. Information about Tub-specific use and trainings will be distributed to users at each tub by their Local Implementation Managers.

Users should make sure to check out the monthly HUBS newsletter which highlights system features, how-to's, and tips and tricks. The monthly newsletter can be found on the homepage of the HUBS project iSite.

Also, don't miss the HUBS resources on Eureka. New resources include the HUBS Reporting Quick Reference Guide and information about using SmartView Analytics. Other resources include work instructions about individual reports, webforms, and business rules, as well as online courses about reporting and data entry use of the system.

Recent Releases

On November 1, HIRBERT and HETHR were updated with a few enhancements. See the Release Notes for details.

Future Releases

The next GMAS Release is scheduled for December 19th and will include the following enchancements:

  • The new Letter of Credit Module (LOC) with new features to enhance and streamline Harvard's federal expenditure reconciliation process
  • New versions of 7 Grants.gov forms commonly used for S2S submissions. The new versions reflect changes resulting OMB reviews and FFATA reporting requirements. There are approximately 15 new or changed data elements across the new versions, and NIH plans to use these forms for the February, 2010, deadlines.

TRAINING ADMINISTRATION PROFILE:
HRTRNDP220 [Departmental-Training Administration Profile] is the CREW report that you can run to display Training Administration information for employees who have training data in PeopleSoft's Enterprise Learning module. The report will display primary job information for active and terminated employees (including retirees). If an employee does not have training data, they will not appear on the report.

Beware: Printer and Copier Toner Scam Alert

Multiple Harvard departments have reported an increase in telephone scams specifically targeted at printer and copier toner. No legitimate Harvard vendors will ever initiate telephone contact with you to ask about your office printer or copier and you should not provide this information over the phone. Other typical warning signs include an overly friendly sales person, a company name that sounds similar but not quite the same as legitimate vendor on campus, one-time offers to "try before you buy", repeated requests to speak to "the person who buys toner", or a reluctance to provide you with a call back number or contact information.

These companies misrepresent their pricing, ship inferior product, and then legally charge you exorbitant restocking fees. Some Harvard departments have been stuck with charges in excess of $4000.

Toner is a costly item, but virtually every copier on campus has toner included at no additional charge in the service agreement. For printers, Procurement has worked extensively with OfficeMax, HP, and Roxbury Technology, a legitimate third party manufacturer, to provide appropriate choices at competitive prices. Upcoming Releases

FY2010 FINDINI Release Schedule

A software release to the Oracle Financial Applications, known as a "FINDINI release", is done every two to four months. Each upgrade introduces needed bug fixes, enhancements, and technical upgrades into Harvard's financial systems. Generally, releases are performed on weekends to assure maximum availability during the business week. Most outages occur from 6 pm Friday evening-6 am Monday morning.

The next FINDINI release, 3.2.10, is scheduled for March 2010. Please see future issues of e-News for more information.

  • The CREW RPT 5.11 report release is scheduled for November 20. See article 2 for details concerning report and data model enhancements.
