HUBS 11.1 January Monthly Release Complete

The latest enhancements were recently deployed to the Harvard University Budgeting System (HUBS) and made available to planners on Friday, January 21st. The table below is a summary of the functionality and updates contained within this release. Please refer to the HUBS iSite for the full release notes.

Business Rule WFBE077/MT Calculate Employee Expenses Update Update to correct an issue that occurred for Tubs that elected to have salary and benefits expenses copied from Actual-Final to Plan-Working for the current fiscal year. Report FRBE035e_Monthly_Salary_Expense_by_Fund
FRBE035d_FAS_Monthly_Salary_Expense_by_Fund
New New report that allows a specific fund to be selected and only salary and benefits expenses for that fund will be displayed at an individual employee and position level.
Report FRBC028_CINA_by_Major_Fund_Category Update Update so that when a drill-down occurs on the funds in the column of the report, only funds with data will be displayed. Funds without data will be suppressed.
Report Alt_FRBC037a_CINA_Flex_Export New New version of the CINA Flex Export report that incorporates the alternate Object Management hierarchy that is utilized by several Tubs.
Report FRBC027d_Budget_Analysis_by_Object_and_Activity Update Update to add a prompt so that the report is consistent with all Budget Analysis reports. The prompt allows either the Working, Q1 Forecast, Q2 Forecast, or Q3 Forecast Version to be selected as the active forecast being displayed.
Report FRBE035b_Monthly_Salary_Expense_Totals Update Update to eliminate the Employee and Position columns of the report. The values are "Total Employees" and "Total Positions" for every row of data and the display of these columns was unnecessary. Change also subsequently increases the font size to make the report more readable.
Report FRBC150a_Material_and_Services_by_Activity_with_Prompts New New version of the Materials and Services by Activity report for those Tubs that have the previous version. This version allows the Scenario and Versions in the columns of the report to be based on a user prompt instead of fixed to specific values.
Report FRBC037_CINA_Flex Update Update to include an additional variance calculation so that variances are calculated between all three Scenario and Version in the report.

HCOM Training Update: Resources Available on Eureka

As part of the Harvard Crimson Online Marketplace (HCOM) implementation project, the first in a series of online training vehicles have been published via the Center for Workplace Development's learning management system, Eureka.

Users can also access HCOM training documentation and PowerPoint presentations on the Eureka site; the documentation provides detailed step-by-step instructions on how to navigate, shop, receive, approve, and run reports in the HCOM application.

The online offerings include "Quick Bites": 5-10 minute audio introductions to HCOM topics and processes. The Quick Bites published to date include "Introduction to HCOM", "Setting Preferences", and "Searching and Comparing Catalog Items". To access the Quick Bites, follow these instructions:

  1. Open a web browser and navigate to Eureka (http://eureka.harvard.edu)
  2. The PIN page will open. Enter your HUID and PIN and click Login.
  3. After logging in, you will land on the PeopleSoft page.
  4. Click on the drop-down arrow next to PeopleSoft 8.9 and change the view to Financials:

  6. From the Job Aids tab, click on the HCOM
  7. Under Additional Resources, click on the Introduction to HCOM | Quick Bite link

  9. To view the Setting Preferences Quick Bite, expand the HCOM folder on the left hand side of the screen and select the Setting Preferences folder.
  10. Click on the Setting Preferences link under Additional Resources.
  11. To view the Searching and Comparing Catalog Items Quick Bite, click on the Catalog Request folder on the left hand side of the screen.
  12. Click on the Searching and Comparing Catalog link under Additional Resources.

Tip: If you work primarily with financial applications, you can change the opening page in Eureka to open up to Financials instead of PeopleSoft. To change your preferences, click on the My Profile link at the top of the Eureka homepage. Under Default Applications, select Financials from the drop-down list, and then click Save Profile. The opening page will change to Financials the next time you log into Eureka.

You can also access Use Case Scenarios, which provide a quick overview of HCOM Shopping scenarios and asks the user questions at the end of the scenario to bolster understanding of HCOM concepts. Access the Use Cases in the HCOM folder under Additional Resources (where the HCOM Introduction Quick Bite can be found).

Online training simulations of HCOM processes are also available under the Online Courses Tab. When you access the Tab, you will see two HCOM folders: HCOM Shopper and HCOM Approver:

The following simulations are available in the HCOM Approver folder:

  1. How to Log Into HCOM
  2. Approving HCOM Requisitions
  3. Rejecting Requisitions

The following simulations are available in the HCOM Shopper folder:

  1. Introduction to HCOM
  2. How to Log Into HCOM
  3. Creating Standing Orders

Each online simulation provides users with an overview of the topic and then gives the user the choice of how to learn the steps to complete the process: "Show Me" provides an audio and visual demonstration of the steps, while "Try It" brings the user through a guided instruction where he or she can practice the steps in the HCOM environment. The user also has the option of viewing first, then trying, or trying first and then viewing the simulation.

More online simulations, Quick Bites and Use Cases will be added on Eureka on a regular basis, so users should be sure to check Eureka often for new offerings. Questions concerning the HCOM training program should be directed to Patricia Hatch or Ilena Williams.

Upcoming Releases

FY2010 FINDINI Release Schedule

A software release to the Oracle Financial Applications, known as a "FINDINI release", is done every two to four months. Each upgrade introduces needed bug fixes, enhancements, and technical upgrades into Harvard's financial systems. Generally, releases are performed on weekends to assure maximum availability during the business week. Most outages occur from 6 pm Friday evening-6 am Monday morning.

The next FINDINI release, 3.2.13, is scheduled for the weekend of March 4-6, 2011. Details of the release will be included in an upcoming issue of e-News.

CREW FIN Releases

The Common Reporting Environment for the Warehouse (CREW) is a reporting system that draws data from a variety of sources which are updated on a nightly basis. Users can submit report requests for immediate processing or schedule reports to automatically run on a recurring basis. Types of CREW reports include financial, budget, receivables, HR management, benefits, costing, payroll, pension, security, grants management, and sponsored reports.

The next CREW FIN release, 3.2.13, is scheduled for March 4-6, 2011. Details will be available in an upcoming e-News.

HR (PeopleSoft) and CREW HR Release 29

The next PeopleSoft Release (HR 29) is scheduled for May 6-8, 2011. Details will be available in an upcoming e-News.

The Harvard University Budgeting Sytems (HUBS) is a set of web-based Oracle Hyperion Planning applications used for budget data entry, estimates, annotations, reporting, and submission associated with the annual budget and planning cycles.

HUBS Monthly Release 1.11 was deployed on Friday, January 21, 2011. Please see article 1 for enhancements details.

About the e-News

The Center for Workplace Development publishes this electronic newsletter for users of Harvard University's financial, HR, and reporting systems, policies, and procedures. The e-News is generally published on or around the 15th of each month.
